PRIVACY
POLICY.
What we collect, why we need it, and how your training details and personal information should be handled.
The current enquiry form prepares text in your browser; it does not automatically send a message to ATHLGRID. We are not collecting payment details here. This policy will be completed with the verified legal operator, support address, vendors and operational retention rules before we take paid subscriptions.
Who is responsible?
The planned data controller is the person or business operating ATHLGRID. We will publish the confirmed legal name, business contact address and dedicated privacy email before paid enrolment begins.
Brand: ATHLGRID
Legal operator: [To be confirmed before launch]
Privacy contact: [Business email to be added before launch]
For general questions about the site, visit our Contact page.
What data may be used?
- Contact details: name, email and messages you choose to send.
- Coaching details: sport, goals, experience, training schedule, preferences and progress reports supplied voluntarily.
- Training media: photos, video clips or match footage that clients choose to submit for reviews.
- Billing records: subscriptions, invoices and transaction status once a payment provider is connected. We do not plan to collect full card numbers ourselves.
- Technical data: basic browser, request and security information that may be processed by our hosting provider to deliver and protect the website.
Our current contact form runs locally and creates a copyable message; nothing is submitted by the form itself. If you separately send that message to us through an external service, that service's own terms also apply.
Why information is needed
We intend to use information only for legitimate purposes, including answering enquiries, providing requested coaching, delivering memberships, administering payments, resolving issues, keeping necessary accounting records and protecting the website.
Depending on the purpose, the UK GDPR lawful basis may be performing a contract, taking steps requested before a contract, complying with legal obligations or a proportionate legitimate interest such as service security. Marketing emails would require an appropriate separate basis and opt-out arrangements.
We will not sell customer personal information to advertisers.
Health-related information
Details about injuries, health conditions or disability may be sensitive health data under UK data protection law. ATHLGRID does not need clinical records to run ordinary educational memberships.
Before any optional health-related data is collected for coaching, we will explain what is necessary, minimise what is requested, identify both an Article 6 lawful basis and an applicable Article 9 condition (such as explicit consent where appropriate), and implement suitable safeguards. Clients should not send detailed medical records or other sensitive information through public Discord channels or the current enquiry form.
Healthcare, prescription medication and injury diagnosis are outside our coaching scope.
Who might receive data?
Information may be handled by providers needed to operate the service, for example website hosting, secure payment processing, scheduling, email or coaching communication tools. We will identify the actual providers and appropriate UK/international transfer safeguards when these are selected.
We do not publish identifiable progress photos, reviews or match footage for marketing without separate permission. Clients must have the rights needed to share footage with us.
For any team, trial or club outreach support, we will discuss the intended recipients and obtain the client's permission before sending identifiable footage, highlights, contact details or sporting records to third parties. ATHLGRID does not claim to represent a client as a licensed agent.
Links to third-party services such as Discord, social platforms and payment pages have their own privacy policies.
Your control over your data
We will keep personal information only for as long as reasonably necessary for the reason it was obtained, including any statutory accounting obligations. Detailed retention periods for enquiries, coaching records and billing documents must be finalised before those systems go live.
Depending on the circumstances, your UK data protection rights can include requesting access, correction or erasure, restriction of processing, objecting to particular processing, obtaining portable data, and withdrawing consent where consent is the basis.
You can also complain to the UK Information Commissioner's Office (ICO). We will provide a functioning privacy-contact email before collecting paid-customer records.
Cookies and analytics
ATHLGRID currently does not install its own advertising trackers or marketing analytics scripts in this static site. Hosting infrastructure may use limited technical or security features needed to serve the site.
If we introduce optional analytics, advertising cookies or similar technologies, we will update this notice and obtain consent where UK law requires it before enabling them.
Privacy questions
We may update this policy if we add payments, scheduling, new coaching tools or other features. The latest revision date will appear at the top of this page.
Before collecting customer information through an operational checkout, we will add verified controller details, contact information, provider disclosures and data-retention practices to this policy.
